Key Responsibilities:

  • Handles crew logistics and operational tasks related to crew change processes.
  • Actively monitors ongoing crew changes and maintains continuous solution-based communication with all stakeholders.
  • Arranges and supports travel arrangements, and transfer processes of crew.
  • Updates crew planning/rotation list and crew list.
  • Informs joiners on crew change planning and handles all pre-joining and departure formalities. Liaises with off-signers on all needful formalities.
  • Liaises with crew agents and port agents for crew joining/repatriation, including booking of flight and visa application where required.
  • Updates system (ERP) on all crew movements during each crew change.
  • Updates crew’s records and certification in the crew management system.
  • Ensures that crew documentation complies with Matrix and is updated correctly in the system.
  • Prepares offshore employment contracts and seafarer employment agreements.
  • Maintains up-to-date seafarer’s personnel file and monitors seafarer’s certificates and documents expiry.
  • Constant communication and interaction with crew. Assists on all crew issues.
  • Assists in any ad-hoc duties, projects, and activities as and when required.

Working Conditions

  • Constant coordination with seafarers, masters, agents and agencies
  • Availability outside regular working hours may be required to handle operational emergencies (missed flights, illness, or postponed crew changes).
  • Frequent use of computers and phone
